Sharing OneDrive files within Georgian College via a link

Introduction
Sharing files from OneDrive is an effective way to distribute material as an instructor or student. Large files can easily be linked directly with customized settings according to your needs. This is especially powerful for posting content to Blackboard or for students who are submitting large files.
There are multiple ways to complete this process, but the steps outlined are considered the most versatile way and works in most situations, including student submissions for large files. If these steps don't meet your needs, connect with FacultyEdTech@georgiancollege.ca
Instructions
Finding the Share function for a file or folder
- Navigate to your My GCLife-Employee Centre (MyGCLife - Employee Centre (service-now.com)
- Click the app icon in the top-left corner and select OneDrive. You may have to select More Apps if it's not listed for you.
- Locate the file or folder you want to share.
- Hover over the item to reveal the options.
- Select Share:
Adjusting the Share settings
- Click the icon in the screen that follows to access the options:
- Under "Who this link will work for", it's recommended to use “People at Georgian College” in most situations, or “People you choose” if you only want a small number of individuals to have access.
- Under “More Settings”, ensure “Can view” is selected. This allows anyone with access to view and download, but cannot edit the file:
- The “Expiration date” is optional if using these settings. This link can be disabled if you later decide to limit access again.
- Click Apply.
Sharing the link
- Upon returning to the previous screen, click "Copy link".
- That link can be shared anywhere you need to distribute it, including in Blackboard content areas, websites, emails, or as student submission for assignments.
